What Kodap Cleans collects, why it is needed and the choices you have.

This policy covers assessment requests, correspondence, accepted jobs and use of this website.
1. Who is responsible?
Joseph Hryszko, trading as Kodap Cleans at 15 Brompton Drive, Bradford, West Yorkshire, BD10 0DW, is the data controller for personal information collected through this website and during a card-care job. Questions and data-rights requests can be sent to hello@kodapcleans.com.
2. Information collected
We may collect your name, email, postal details, card and set information, estimated value, service request, messages, KC reference, card photographs, condition records, payment status and postage details. Limited technical and security logs may include an IP address, browser and request time. Kodap Cleans does not need to store complete payment-card details when payment is handled by a payment provider.
3. Where it comes from
Most information comes directly from you through the assessment form, email, payment and postage arrangements. Delivery updates, payment confirmation or information from a person authorised by the card owner may also be received.
4. Purposes and lawful bases
Information is used to respond to assessment requests and prepare quotes, which is necessary to take steps at your request before a contract; to accept, document, perform and return an accepted job, which is necessary to perform the contract; and to process payment, accounting and tax records, where this is necessary for the contract or a legal obligation. Records may also be used for the legitimate interests of protecting customer property, preventing misuse, investigating complaints and establishing or defending legal claims, where those interests are not overridden by your rights. Promotional use of anonymised card photographs relies on separate consent.
5. Required and optional information
Required form and order information is needed to assess the request, communicate with you or provide the service. Without it, Kodap Cleans may be unable to assess or accept the card. Permission to publish anonymised card photographs is optional and does not affect the assessment or service.
6. Service providers and recipients
Information is shared only where needed with providers supporting the website and job: Cloudflare for hosting and security; Resend for transactional email; Microsoft/GoDaddy for the business mailbox; Stripe for checkout, payment and fraud prevention; and the selected postal carrier for delivery. Information may also be shared with professional advisers, insurers, regulators, courts or law-enforcement bodies where necessary and lawful. Kodap Cleans does not sell customer information.
7. Card photographs
Submitted and job photographs are used for assessment, condition records, communication, performance of the service and resolving concerns. They are not published for promotion unless you give optional permission. You can withdraw that permission for future use by email. Kodap Cleans will stop new promotional use and remove material under its control where reasonably possible, but withdrawal does not make earlier lawful use unlawful and may not remove copies already shared or cached by others. Refusing or withdrawing promotional consent does not affect the card-care service.
8. Retention
Assessment requests that do not become jobs are normally kept for no longer than 12 months. Contract, payment, consent and accepted-job records may normally be kept for up to six years for tax, accounting, dispute or legal purposes. Promotional photographs are kept until no longer needed or consent is withdrawn. Provider systems and backups may follow their own documented deletion cycles. A live complaint, claim or legal duty may require relevant information to be kept for longer.
9. Security and overseas processing
Reasonable technical and organisational measures limit access and protect information, although no internet service can promise absolute security. Some providers may make information accessible outside the UK. Where this is a restricted transfer, Kodap Cleans relies on a lawful mechanism such as UK adequacy regulations or approved contractual safeguards, as applicable to the provider and transfer.
10. Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or a portable copy. You may withdraw consent without affecting earlier lawful use. Legal exceptions can apply. Email hello@kodapcleans.com; identity may need to be confirmed.
11. Automated decisions and cookies
Kodap Cleans does not make decisions producing legal or similarly significant effects solely by automated means and does not use personal information for behavioural profiling. The current site does not intentionally use advertising or behavioural-profiling cookies. Essential hosting and security technology may process limited technical data. If analytics, advertising or other non-essential cookies are introduced, this policy and consent controls will be updated first.
12. Children
The service is not designed for children to contract independently. A parent or guardian should manage a request for anyone under 18.
13. Complaints and updates
Contact hello@kodapcleans.com first so a concern can be investigated. You may also complain to the UK Information Commissioner’s Office through ico.org.uk/make-a-complaint or on 0303 123 1113. This policy may change when the service or providers change; the revision date will be updated.
